We are looking for a Receptionist to perform a variety of administrative and clerical tasks. As a Receptionist, you will be the first point of contact for our company. You will coordinate front desk activities, answer and direct phone calls, provide client updates, distribute correspondence, greet visitors, and order office supplies, along with a variety of other administrative and managerial tasks.
Greet and welcome guests as soon as they arrive at the office
Direct visitors to the appropriate person and office
Answer, screen and forward incoming phone calls
Ensure office area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
Provide basic and accurate information in-person and via phone/email
Receive, sort and distribute daily mail/deliveries
Maintain office security by following safety procedures
Order office supplies and keep inventory of stock
Update calendars and schedule meetings
Arrange travel and accommodations, and prepare vouchers
Communicate with clients, court clerks, process servers, and other law offices
Schedule and prepare materials for client meetings
Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
Ability to work effectively and professionally with attorneys, legal assistants, clients, and outside organizations
Needs to be able to transition quickly between multiple tasks and handle a fast-paced work environment.
Proficiency in Microsoft Office
