Position Summary
The Convention Sales, Sports & Services Coordinator is responsible for providing administrative assistance and support to help the department successfully achieve goals and fulfill assigned responsibilities.

Essential Job Functions
•       Responsible for preparing and ensuring the accuracy of monthly and quarterly reports.

•       Responsible for timely entering and updating sales lead in the customer relationship management system (Simpleview) to assist directors/sales manager to achieve their objectives.

•       Prepare error-free letters, newsletters and other documents from rough draft format.

•       Responsible for preparing and distributing meeting planner guides and packets for prospective clients and meeting planners.

•       Responsible for ordering signage and delivering to hotels and venues.

•       Coordinate all set up and activities for tradeshows, conferences and sporting events; organize items needed for events (i.e. printed materials, brochures, letters, banners, name badges, etc.) and prepare hospitality room when needed.

•       Prepare recap on all tradeshows, conferences and sporting events.

•       Assist in developing social media and marketing content for local sporting events and Hall of Fame.

•       Assist in the collection and storage of sports memorabilia.

•       Assist in the research and copywriting sports exhibits and elements for the Sports Hall of Fame.

•       Schedule internal and external meetings; record detailed minutes/notes from all meetings.

•       Relieve front desk receptionist during meal break and absences.

•       Other duties as assigned.

Position Requirements & Qualifications

Education/Experience

•       An associate’s degree in Business Administration or related field preferred.
•       Requires a minimum of 2 years customer service and administrative experience.

Knowledge, Skills and Abilities

•       Strong proficiency and proven success assisting team members’ efforts to obtain business objectives and create a competitive advantage.
•       A highly effective communicator with the ability to clearly and concisely articulate information.
•       Innate drive for results with the ability to juggle competing priorities.
•       Strong ability to handle high pressure and complex situations.
•       Proficient in Microsoft Word, Excel and PowerPoint.

Working Conditions & Physical Demands

•       The work environment involves everyday risks or discomforts requiring normal safety precautions typical of such places as offices, meeting and training rooms; use of safe work practices with office equipment, avoidance of trips and falls and observance of fire regulations.
•       Typical, the employee may sit comfortably to do the work. However, there is some walking, standing, bending and carrying of light items. Also, the employee must have manual dexterity, visual and auditory acuity.
•       Some repetitive motion is required.
•       Some evening and weekend work may be required at times over and above the traditional office requirements.
•       Normal work schedule will be based on events.
•       Requires 1 or 2 training-related trips annually.
